If they have a PhD, use "Dr. [Last Name]" or "Professor [Last Name]." If they publish as "Professor" on their faculty page, go with that. Never use just "Hi" or "Hey" with no name. Step 7: Follow Up - Twice

I've seen all of these kill otherwise solid outreach campaigns. Avoid them:
- Opening with "I" as the first word. It immediately frames the email as being about you, not them. Flip it - open with a reference to their work or a direct statement of what you're offering.
- Using AI-generated prose without editing it. Professors have become highly attuned to the cadence and structure of AI-written emails. Generic openers, predictable three-paragraph structure, and recycled phrases are instant delete triggers. If you use AI to draft, edit aggressively until it sounds human.
