Validation and infrastructure work together. A verified list sent from a cold domain with no warmup still lands in spam. A fully warmed domain with perfect authentication still gets damaged by a list full of hard bounces. Both layers are necessary.

Don't over-engineer this. Here's the decision framework I use:

One principle that applies regardless of which tool you pick: build re-verification into your process. A list you validated three months ago is not the same list today. Any contacts you haven't sent to within 30 days should be re-validated before you send again. This applies to lists you sourced and validated yourself, and it especially applies to lists you purchased, inherited, or scraped.
The Workflow That Keeps Bounce Rates Under 1%
Here's the exact sequence I recommend for any outbound campaign build:
- Source leads from a quality B2B database. If you're pulling leads from scrapers - whether that's Google Maps data, Apollo exports, LinkedIn data, BuiltWith technographic scrapes, or any other source - validation before sending is mandatory. Scraped data is a snapshot in time. People change roles. Companies rebrand. Email formats get updated when organizations migrate platforms. The scraper captures what was true when the page was indexed, not necessarily what's true today.

What to Watch After You Send: Post-Send Deliverability Monitoring
Validation is a pre-send activity. But your deliverability work doesn't stop once you hit send. Here's what to monitor actively during and after a campaign:
- Hard bounce rate per campaign: Should stay under 2%, ideally under 0.5% on newer domains. If a specific campaign segment is bouncing at 3%+, pull that segment and re-validate before continuing.
- Spam complaint rate: Even with a validated list, if your messaging or targeting is off, recipients will hit "this is spam." Inbox providers track spam complaint rates and use them to determine how aggressively to filter your future sends. Keep complaint rate under 0.1% for Gmail.
- Blacklist status: Check your sending domain and IP against major blacklists periodically. ZeroBounce and Bouncer both include blacklist monitoring. Free tools like MXToolbox also let you check manually.
- Reply rate as a deliverability signal: A meaningful drop in reply rate without a corresponding drop in open rate can signal that more of your mail is landing in spam on some providers but not others. Open tracking is increasingly unreliable due to privacy protections, but reply rate is a clean signal.
- Bounce rate trends over time: If your bounce rate on a previously clean list starts climbing campaign-over-campaign, that's decay hitting. Time to reverify.

Free vs. Paid Validation: Is Free Ever Enough?
Most paid validation tools offer free tiers or trial credits - typically 100-200 free verifications per month. Those are useful for testing accuracy on a sample of your list before committing credits to a full validation run, but they're not workable for real outbound operations at any meaningful volume.
Here's the math: if you're running outbound at even a modest 500 new contacts per week, you need 2,000+ verifications per month at minimum. Free tiers don't cover that. And the cost of paid validation is trivially small relative to the cost of burning a domain - at $0.003-0.005 per email for most tools, validating 2,000 contacts costs $6-10. The warmup time alone for a replacement burned domain is worth hundreds or thousands in lost pipeline.
The "free" validation option some people rely on is syntax checking in their sending tool - which only catches formatting errors and is not a substitute for SMTP verification. If your sequencer is doing basic format validation and you're treating that as list hygiene, you're not running a clean list. You're just filtering out addresses missing the @ symbol.
Pay for real validation. At the per-email costs these tools charge, there is no budget justification for skipping it.
