The free tier also includes a handful of lookups per month, so there's a low-risk way to test whether the data covers your target market before you buy.

Best for European & International Teams: Cognism

If your pipeline runs through Europe, Cognism changes everything. Their phone-verified mobile data and GDPR compliance make them the go-to for international outbound. If your primary use case is finding work emails for a known list of companies and verifying them before sending, Hunter does it better and cheaper than most alternatives. But if you need broader prospecting - finding the right companies, enriching contact info, building lists from scratch - you'll outgrow it fast.

Best for Breadth of Contact Data: RocketReach

RocketReach indexes 700M+ professional profiles and 60M+ companies, which gives it one of the largest raw profile counts of any tool in this category. The breadth is its main selling point - when other tools come up empty on a specific contact, RocketReach often still finds something because it pulls from a broader dataset.

Pricing is credit-based, ranging from roughly $468 to $2,988 per user per year depending on lookup volume. Phone data is available but locked behind higher plan tiers. The accuracy on phone numbers is inconsistent (around 60-70% in independent tests), so verification before any cold calling campaign is essential.

Clay operates differently from every other tool on this list. That waterfall approach means you're not single-threaded into one database's limitations.

This deserves its own section because it's where most people get burned. Every prospecting tool claims high accuracy. Here's how to read those claims with appropriate skepticism.

When a tool says "91% accuracy," that usually means their internal validation shows 91% of emails pass a syntax and domain check. It does not mean 91% of those emails will land in an inbox. Real-world deliverability depends on whether the email address is actively used, whether the mailbox is full, whether the domain blocks cold email, and a dozen other factors.

Real-world user reports paint a different picture than marketing pages. Apollo users report accuracy in the 65-80% range depending on industry and geography. ZoomInfo performs better in enterprise US segments but shows gaps in European markets. Cognism's Diamond Data phone-verified mobile numbers are best-in-class for EMEA connection rates. The practical implication: never send from an unverified list. It doesn't matter which database you use. Always run every export through email validation before it touches your outreach tool. The way to use intent data correctly: layer it on top of a clean ICP list as a prioritization signal. If you have 1,000 prospects that match your ICP and 100 of them show strong intent signals this week, work those 100 first. Don't abandon the other 900. Intent data changes your sequencing priority, not your fundamental list-building strategy.

For most lean outbound teams, intent data is a nice-to-have, not a must-have. Get your core data, copy, and deliverability dialed in first. Add intent data when you're ready to optimize an already-working system.

Lead Qualification: The Step Nobody Talks About

Prospecting software gives you names and emails. It does not tell you which of those people are actually worth your time right now. That's where lead qualification comes in - and it happens both before you build the list and after initial responses come in.

Before you build: your ICP definition does the first round of qualification. If your ICP is "VP of Marketing at SaaS companies with 50-500 employees in the US," every filter you set in your prospecting tool is a qualification decision. The tighter your ICP, the less time you waste on unqualified outreach.

Common qualification criteria to build into your list-building process:

After initial outreach: the replies you get (and don't get) are the next round of qualification. A response asking for more information is a qualified lead. Let me walk through what a full prospecting workflow looks like when each tool is doing its actual job - because this is where most people get confused. They have a bunch of tools that don't talk to each other, and they end up doing manual work to bridge the gaps.

Here's a clean workflow from ICP to booked meeting:

Step 1 - Define the ICP precisely. Industry, company size, geography, job title, seniority. Add any technographic or firmographic filters that further qualify (tech stack they use, funding status, hiring trends). This is a strategy exercise, not a software exercise.

What to Avoid: Common Mistakes When Buying Prospecting Software

I've watched enough teams make expensive tool-buying mistakes that I can give you a short list of what not to do:

Don't buy a tool to fix a process problem. If your team isn't following up consistently, a better sequencer won't fix it. If your ICP is undefined, a bigger database won't fix it. Before you buy software, be honest about whether the problem is the tool or the discipline.

Don't ignore data validation because it's a separate step. Every team I've worked with that had deliverability problems was skipping validation. It feels like an extra step. It is the step. Skip it and you're paying the price in damaged sending domains and blacklisted emails.

Don't sign annual enterprise contracts before you've validated the data for your market. Always run a test on a small sample of your actual ICP before committing to a year-long contract. The sales rep's demo data will match perfectly. Your specific niche or geography might not.
